The following statements are intended to describe the general nature and level of work being performed. They are

Summary & Scope:

Provide administrative and project management support to the Major Gifts team. Increase efficiency and effectiveness of Major Gifts reporting. Administer excellent customer service to donors, prospects and internal clients.

Duties:

Essential Duties & Responsibilities include the following.   • Update and maintain a complex database of confidential information to ensure current and accurate information.
  •  

  • Handle maintenance of donor account files, including establishing and maintaining permanent donor files that contribute to the fundraising
  •  

  • Processing forms within an acceptable time frame.
  •  

  • Extract information from a Microsoft CRM database, analyze, draw conclusions and make recommendations based on findings
  •  

  • Provide project support to managers and other staff as assigned. i.e. schedule meetings, prepare meeting agendas, handle logistics, track RSVP's, maintain Outlook calendars, perform mail merges, assist with mass mailings, tent cards, nametags, type and prepare correspondence, process administrative forms, order office supplies and deliver mail as scheduled.

  • Develop timeline, lead and execute the on-time delivery of the Community Leaders Book.
  •  

  • Develop, implement and maintain processes to ensure effective reporting of dollars raised.
  •  

  • Ensure donors are coded and recognized at the appropriate level.
  •  

  • Input donor and company information into database accurately, promptly and efficiently.
  •  

  • Update the Tocqueville and Meridian Society membership roster and schedule of events.
  •  

  • Process assigned Leadership donor pledges and follow-up as needed.
  •

  • Prepare or assist with preparing all administrative forms and related paperwork as appropriate.

  • Input donor and company information into database accurately, promptly and efficiently.
  •  

  • Provide donor relations service in a courteous and professional manner.
  •  

  • Support all UWCI fundraising efforts as directed

Qualifications:

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily and be physically present in the office. The requirements listed below are representative of the basic knowledge, skills, and/or abilities required. Education and/or Experience:

Bachelor's degree preferred or equivalent professional experience required. Demonstrated proficiency in Microsoft's Word, Excel, Outlook Access and PowerPoint 2007 is required. Experience working with databases and strong proficient data entry skills are required. The ability to merge and manipulate Excel and Access data is required. Must be able to type 40-60 wpm on a keyboard.

Ability to read, analyze, and interpret United Way business correspondence such as letters; reports; memorandums; etc. Ability to respond to inquires or complaints from customers and members of the business community. Ability to effectively respond to questions from top management, clients, customers, and the general public. Ability to effectively work with diverse volunteers and staff with diverse work styles in a professional manner is critical. Must have the ability to multi-task.

Other Skills and Abilities:

Outstanding public relations skills. Advanced computer skills. Ability to work effectively with diverse staff and diverse work styles. Demonstrated skills in the following areas are required: strong customer service, attention to detail, interpersonal relations, proofreading, mathematical and organizational skills. Must have demonstrated a practice of maintaining records accurately and confidentially. The ability to work effectively under pressure, multi-task, work independently, as well as part of a team, and use good sound judgment is crucial. Must be able to prioritize work assignments, handle multiple projects simultaneously with minimal supervision, and be able to re-prioritize tasks. Ability to review computer data in consultation with staff is necessary. Ability to respond to inquires or complaints from customers and members of the business community.
